We are seeking a highly organized and proactive Executive Assistant, Membership & Engagement to provide administrative and operational support to the Chief Membership & Engagement Officer.The Membership & Engagement division is on the front line of our members’ experience and strive to build meaningful, high-impact relationships across the credit union movement. This position is a Hybrid role based in Washington, DC.

Responsibilities

  • Provide direct executive support to the Chief Membership & Engagement Officer (CMEO).
  • Maintain the CMEO’s calendar, including scheduling meetings, events, and travel arrangements. Exercise discretion in committing time and evaluating needs.
  • Manage correspondence for the CMEO, proactively and independently responding to messages on their behalf.
  • Draft, review, and send communications on behalf of the CMEO, as needed.
  • Determine priority of matters of attention for the CMEO; redirect matters, or handle matters personally, as appropriate.
  • Keep CMEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Schedule division meetings; assist in the meeting preparation, including meeting logistics, preparing PowerPoint or other materials, distributing agendas, etc.
  • Prepare, reconcile, and submit invoices and expense reports.
  • Manage the mailings of letters and packages.
  • Maintain electronic filing and organization systems, ensuring understanding and usage across the division.
  • Maintain confidential and sensitive information.
  • Attend meetings and take notes of discussion and prepare minutes and summaries, as needed.
  • Play a key role in the coordination of staff efforts within the division and across the organization.
  • Collaborate with the Executive Support for other members of the Executive Leadership Team to ensure consistent support and alignment.
  • Complete a variety of special projects, including PowerPoint presentations, financial spreadsheets, agenda materials, etc.
  • Independently develop and implement administrative procedures within the Membership & Engagement division to achieve efficiencies and ensure processes operate smoothly.
  • Support the Membership & Engagement Leadership team, as needed.
  • Partner with Data Strategy & Systems, Leagues & Industry relations, Member Councils, Member Engagement & Service, and other teams across America’s Credit Unions to support the needs of the Membership & Engagement division.
  • Liaise with vendors or outside entities to support the work of the Membership & Engagement division.
  • Understands the importance of a member-centric focus and is committed to the standards of excellence in engagement and service.
  • Provide support for internal and member-facing activities and events such as all-staff meetings, team outings, conferences, etc.
