About The Position

Supports the mission of People's Community Clinic by overseeing all aspects of the immunization program, including program leadership, compliance, and vaccine inventory management. The Program Manager will participate in patient outreach and staff training, as appropriate. This role ensures the clinic complies with state and federal requirements, participates in achieving immunization goals, and delivers high-quality patient care. This position works as a member of a care team to coordinate patient care and support patients and families in self-management, self-efficacy, and behavior change. Care team members are expected to assess and manage the health needs of the patient population and to communicate effectively with all patients, especially vulnerable populations. Requirements

  • High school diploma/GED required
  • 1 – 3 years’ experience in program or project management
  • Knowledge of vaccine administration, storage, and handling
  • Strong organizational and time-management skills
  • Proficiency in Microsoft Word, Excel, and EHR systems
  • Excellent oral and written communication; ability to interact professionally with diverse populations
  • Problem-solving ability and attention to detail

Nice To Haves

  • Graduation from an accredited practical nursing school or an accredited 4-year college or university is preferred
  • 1 – 3 years’ experience supervising staff preferred
  • Previous experience in healthcare or vaccine programs preferred
  • Bilingual (English/Spanish) preferred
  • Current LPN/LVN license from the Texas Board of Nursing preferred

Responsibilities

  • Serve as the primary Texas Vaccine for Children (TVFC) Coordinator for designated sites, ensuring compliance with the guidelines of all TVFC, ASN, CDC, and other approved professional organizations, as agreed upon by People’s.
  • Establish and maintain program goals; work with Nursing Managers and Leadership to identify strategies to improve immunization rates.
  • Oversee integration of statewide immunization registry into clinic workflows and act as liaison to state immunization programs.
  • Attend ongoing training and education to maintain compliance with state and federal requirements.
  • Order, receive, and process all vaccine shipments, including VFC, ASN, and privately purchased; manage inventory, storage, handling, and distribution across all clinical sites.
  • Monitor and ensure vaccine storage conditions, including daily temperature checks and data logger reviews, are documented; promptly address temperature excursions.
  • Ensure that stock is rotated, expired vaccines are removed, and accurate inventory records are kept.
  • Submit timely reports on vaccine inventory and doses administered to DSHS and internal stakeholders.
  • Perform audits to ensure proper documentation of vaccinations in EHR and immunization databases.
  • Process patient immunization paperwork and perform data entry as needed.
  • Maintain accurate records for billing, compliance, and reporting.
  • Partner with Department leadership for recalls/reminders to patients with delinquent immunizations.
  • Champion the importance of immunizations throughout the clinic.
  • Provide input on workflow improvements, quality assurance, and compliance.
  • Identify opportunities for staff training and professional development.
  • Work closely with nursing leadership and administrative teams, and community partners to support immunization efforts.
  • Identify and implement process improvements to enhance patient care and operational efficiency.
  • Adhere to HIPAA and all regulatory guidelines.
