About The Position

We are aggressively seeking a talented, highly organized, and dependable Office Administrator to support two rapidly growing and energetic St. Louis businesses: The Annex Workspace and The Gellman Team. This is a full-time position that will split time between both companies, providing operational, administrative, and occasional client-facing support across multiple offices in the St. Louis metro area. This role is ideal for someone who enjoys variety in their day, takes pride in keeping offices running smoothly, and thrives in a fast-paced, service-oriented environment. Both of these companies are in growth mode, and we are looking for the perfect candidate to come in and play a role in the continued success of both organizations. From providing marketing/printing support, help with handling mail, office supplies, inventory management, building management, providing support to clients, teammates, and more - this role is perfect for someone with administrative experience looking for a new and exciting opportunity to join a fast paced, culture-driven environment. The primary location this role will be based out of is in Shrewsbury, MO, with additional office locations that you may spend time at in St. Peters, Wildwood, and Chesterfield, depending on business needs. Hours will be ~8/9 am - 4/5 pm Monday-Friday. This is an IN OFFICE position - and the applicant must be located in the greater St. Louis metro area with reliable, dependable transportation of their own.

Requirements

  • 2+ years of office administration experience (real estate experience preferred but not required)
  • Highly organized with strong attention to detail
  • Excellent communication and customer service skills
  • Ability to manage multiple tasks and priorities across different teams
  • Technologically proficient with common office software, reservation, tasking, and administrative systems
  • Reliable, proactive, and comfortable working independently
  • Reliable transportation

Responsibilities

  • Print and prepare daily marketing materials for listings and maintain stock marketing inventory
  • Manage inventory and handle office supply ordering and procurement
  • Assist with company vehicle fleet management to ensure up-to-date records and maintenance
  • Prepare closing and post-closing marketing materials for real estate clients
  • Assist with planning and coordinating client appreciation events
  • Manage office assets (ie, Commercial Printer)
  • Assist with building management and general operational oversight
  • Interact with clients and tenants to ensure a positive experience
  • Manage inventory and office supply ordering/procurement
  • Provide general administrative support across multiple office locations
  • Handling of inbound/outbound mail for building members
