About The Position

We are seeking a highly organized and personable On-Site Administrative Assistant to support the daily operations of a large cooperative residential building in Brooklyn. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with residents, and takes pride in keeping operations running smoothly.

Requirements

  • 2+ years of administrative experience, preferably in residential property management (co-op/condo experience a plus)
  • Strong communication and interpersonal skills
  • Highly organized with excellent attention to detail
  • Ability to multitask and prioritize in a busy, resident-facing environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with property management software is a plus
  • Professional, proactive, and service-oriented mindset

Responsibilities

  • Serve as the first point of contact for residents, board members, and visitors; provide professional and courteous assistance at all times
  • Support the Property Manager with day-to-day administrative operations of the building
  • Manage phone calls, emails, and written correspondence, ensuring timely responses and follow-up
  • Coordinate move-ins/move-outs, renovation requests, and required building documentation
  • Maintain organized records, files, and resident databases
  • Assist with accounts receivable tracking, invoice processing, and general financial administration
  • Schedule meetings, prepare board packages, and assist with minutes as needed
  • Liaise with building staff, vendors, and contractors to support ongoing projects and maintenance requests
  • Handle package notifications, amenity reservations, and other resident services as applicable
  • Ensure compliance with co-op policies and procedures
